Funding “Things to Remember”

  • Any money that has been allocated for a grant proposal must be spent by the end of the 2011-2012 School Year unless the applicant has applied for and has been granted an official extension by the SEF Grants Committee.
  • If you plan to spend your own funds on supplies for your project, you must fill out a SPS purchase order in advance and then provide itemized receipts to the SPS Business Office in order to be reimbursed (failure to do so may put future proposals in jeopardy).  Please refer to the letter from SPS Business Office for specifics on how to process payment.
  • If you are unable to implement the program as proposed, you must contact the Foundation for approval before changing the program (e.g. contractor no longer available). Money is designated for the project proposed and SEF must be notified and must give approval for funds to be spent differently.
  • Any receipts and reimbursement requests must be submitted to the Business Office by June 30, 2012. After that time, the FY2011-12 account will be closed in tandem with the fiscal year and any remaining funds will be returned to SEF. If you know that you will need reimbursement after June 30th, 2012, you must contact us before that date so that alternative arrangements can be made. If we have not been notified directly by June 30th in order to make alternative arrangements, the applicant will forfeit their right to be reimbursed for expenses. Please plan ahead – we do not want to deny anyone reimbursement!
  • You must stay within the budgeted amount and are not allowed to bill in excess of the awarded amount.
  • You are required to provide a brief report to the Foundation on the enclosed form (also posted online at www.salemeducationfoundation.org) documenting the success of the project.
  • Whenever possible, please publicize credit to the Salem Education Foundation during the implementation of your grant. We rely on PR to help us to maintain and increase community support in subsequent years.
